Edit an Authorization

  1. Follow steps to search and open an authorization
  2. Edit the authorization content according to your needs
  3. Click Button “Save”

What you need to know

When editing qualifications of an authorization changes will only be applied to future assignments. If you want to affect also existing assignments follow steps of updating published authorizations.

Delete an Authorization

Step by Step

  1. Follow steps to search and open an authorization
  2. Click Button “Delete” to iniate deletion
  3. Click Button “Yes” to confirm deletion

What you need to know

Authorizations with existing assignments to staff cannot be deleted. Set these to inactive instead.

Impacts

Deleting authorizations also deletes existing secondary assignments, like assignment to qualifications etc. You are required to rebuild these in case you decide to create the authorization again.

Best Practices

Do not delete used authorizations, instead set these to inactive. In this case you assure no past data is corrupted.

Assign/Plan an Authorization

Just follow

Step by Step

  1. Follow steps to search and open an authorization
  2. Click Tab “Staff”
  3. Click Button “Assign Authorization” in order to open search window
  4. Fill search criteria in search fields
  5. Click Button “Search”
  6. Check relevant staff members to assign to authorization
  7. Click Button “Apply”. The selected staff members will be assigned and Tab “Staff” is displayed again.
  8. Click Button “Apply Filter” to verify success of the assignment.

What you need to know

Usually the an authorization is assigned by the Production Manager to staff. It is part of the issueing workflow and called “Plan Authorization”. This video shows how the same step is done by Quality Manager or Quality Engineers

  3. Fill in search criteria for intended qualification in field “Filter” on right site of screen
  4. Check relevant qualifcations
  5. Click Button “<” in order to assign qualifications to authorization

When you assign new qualifications to an authorization, this doesnt have an direct impact on authorizations already published to staff. Otherwise these new qualifications could make authorizaitons invalid for your entire staff when they do not yet meet the new requirements. For this reason you have to publish changes in authorizations profiles consciously to existing assignment. Follow the steps to upate published authorizations to do so.

Update published Authorizations

  1. Follow steps to search and open an authorization
  2. Click Tab “Staff”
  3. Fill in search criteria for intended staff memers in filter fields
  4. Click Button “Apply Filter”. Matching entries are displayed.
  5. Check the intended staff members.
  6. Click Button “Authorization for selected rows”

Impacts

As a result of this step authorization which have been already assigned to staff members are updated. New or removed qualifications are added or taken as prerequisites.

ATTENTION: If you assign and publish a qualification, which is not fulfilled by your existing staff, the linked authorizations will be invalid in the moment of publishing.

Add Competence Assessments to Authorizations

Step by Step

  1. Follow steps to search and open an authorization
  2. Click Tab “Competence Assessment”
  3. Click Button “Add Competence Assessment” in order to open search interface for competence assessments
  4. Fill in search criteria for intended competence assessment in field “Name”
  5. Click Button “Search”. Matching competence assessments are listed.
  6. Check the relevant competence assessment.
  7. Click Button “Apply” in order to assign the competence assessment to the authorization

Perform next steps if you need the competence assessment as a qualification of your authorization:

  1. Click Button “Create Competence Assessment Qualification” to start creation of qualification
  2. Click Button “Yes” to confirm the creation finally

What you need to know

There are two options to handle competence assessments. First competence assessments can be used independently from authorizations. In this case the result of the competence assessment doesn’t have any effect on the validity of the authorization. In second case a competence assessment can be used as qualification in an authorization. The status of the qualification is directly set by the result of the competence assessment. A negative results will set the qualification to “invalid (red)”. A positive results will set the qualifiction to “valid (green)”. Competence assessment qualifications will expire after the timespan defined for the according assessment.

Impacts

If you link the competence assessment with an qualification within the authorization the results of the competence assessment will affect the validity of the authorization.

  1. Follow steps to search and open an authorization
  2. Click Tab “Competence Assessment”
  3. Check the relevant competence assessment to remove from authorization.
  4. Click Button “Delete” in order to remove the competence assessment from the authorization
  5. Click Buttom “Yes” to confirm the removal finally

There are two options to handle competence assessments. First competence assessments can be used independently from authorizations. In this case the result of the competence assessment doesn’t have any effect on the validity of the authorization. In second case a competence assessment can be used as qualification in an authorization. The status of the qualification is directly set by the result of the competence assessment. Impacts

Removing the competence assessment from the authorization doesn’t remove the linked qualification of the assessment (in case you created one). You have to remove the qualification manually and need to publish the updated authorization profile.
